Job Description

The Director of Sales is responsible for managing the day-to-day charter sales for our organization. This position manages all of the Charter Sales Representatives as well as working directly with customers to quote and book charters and tours for their travel needs. Other responsibilities include handling all large group bookings. This position also assists the company president with marketing and advertising.

This position is based in National City, CA.

ESSENTIAL JOB FUNCTIONS:

1. Answers phone calls and inquiries, and prepares quotes for charter sales.

  • Answers the phone with the company greeting in a friendly, courteous manner.

  • Returns all phone messages in the same business day; returns overnight messages first thing the following business day. If inquiries are complex and cannot be quoted immediately, returns clients phone call and lets them know that you will follow up with them the next business day with their quote.

  • Inquires with client as to whether they have booked with our company before. If they have not, takes a few minutes to start a conversation with client about the benefits of working with Sun Diego.

  • Converses with the client in order to gather trip information and begin to establish a good working relationship; reiterates the details back to the client in order to confirm that you have understood everything they are looking for.

  • Provides information to client inquires about schedules, availability, estimates.

  • Plans routes and itineraries and calculates fees, using the RBS system.

  • Sends quotes for service in writing via e-mail, fax, or mail to clients, depending on the clients preferred method of communication.

2. Follows up with clients.

  • Follows up on written charter quotes no less than 24 hours or one business day with a follow up phone call; confirms that the client received the quote in writing. Ask if they are ready to book.

  • If not ready to book, obtains a specific time in order to conduct the second follow up phone call.

  • Makes notes in the charter of each follow up so that all employees can be informed of that information.

3. Books charters.

  • Handle convention shuttles and most charters requesting more than 5 buses.

  • Sends confirmations, itineraries, and contracts for packages via e-mail, fax, or mail to customers.

  • Hire tour guides, on site transportation coordinators, and meet and greets.

  • Enters charters into RBS.

  • Makes changes to charters as needed. Sends a new contract to client any time a change is made.

  • Prepares and mails customer invoices.

4. Maintains charters and RBS.

  • Records all customer transactions and conversations in the charter, ensuring the most recent comments are at the top. Records all inquiries, complaints, comments, and details. Dates and signs all changes.

  • Process refund paperwork and forward to Accounting.

  • Approves & submits pay sheets for tour guides, meet and greets, and onsite coordinators.

  • Utilizes sample post- trip follow ups; follow up phone calls, e-mails, or a quick note sent through the mail.

5. Manages Sales Team

  • Handles distribution of work load; anticipates problems and makes changes in order to make sure all clients are being given quality service in a timely manner.

  • Follows up on client complaints or issues forwarded from sales team.

  • Monitors follow ups sent out by sales team.

  • Handles sales-related issues with staff: extend/waive deposit due dates, reduce rates/minimums, match competitors quotes, refunds, etc.

  • Monitors sales activity as it relates to operational capacity to ensure that the business is not over-booked.

  • Monitors rate calendar; makes changes with supervisor approval.

  • Makes sure emails/quote requests submitted to general company e-mail boxes are being responded to timely, and assists with them as needed.

  • Maintains time records, approves vacation requests for sales team.

6. Company Marketing

  • Assists general manager with all marketing and advertising for the company.

  • Handles and processes donation requests.

  • Orders and distributes promotional items.

  • Handles Sponsorships.

  • Negotiates trades.

  • Attends trade shows and industry functions on behalf of the company.

  • Updates and maintains company website.

  • Designs company brochure and other advertising materials.

7. Follows all company policies and procedures.

  • Familiarizes oneself with the employee handbook and all company policies and procedures.

  • Works when scheduled; calls in according to policy when arriving late for work or when absent.

  • Observes policies on break and lunch periods.

  • Uses work time appropriately and productively.

8. Demonstrates a high level of effort and commitment to job assignments and company goals.

  • Follows instructions, responds to management direction.

  • Informs supervisor of any and all customer problems or significant issues.

  • Works within the system in a resourceful manner to accomplish reasonable work goals; shows flexibility in response to process change and adapts to and accommodates new methods and procedures.

  • Assumes new responsibilities as assigned.

  • Shows a willingness to be a part of a team and assume the role of team leader if asked.

  • Maintains a cooperative relationship with all other company employees in order to foster a comfortable, productive, and efficient work environment. Assists in projects or additional work from other departments as needed.

  • Manages competing demands. Changes approach or method to best fit the situation.

ADDITIONAL RESPONSIBILITIES:

    • Performs additional duties and assignments as directed by the General Manager.

EXPECTATIONS OF THE DIRECTOR OF SALES:

  • The Director of Sales should possess skills in maximizing his or her potential to promote productivity and positive morale.

  • The Director of Sales should possess computer skills to meet job requirements.

  • The Director of Sales should be a person possessing those traits of honesty, integrity, creativity, and flexibility that are essential to the position.

JOB QUALIFICATIONS and SKILLS:

Education: Bachelors Degree

Required Experience:

  • 5 years of Sales / Customer Service experience

  • Excellent communication and interpersonal skills

  • Ability to fluently speak, read, and write English

  • Strong computer skills: Excel, Word, Outlook

Preferred Experience:

  • Knowledge of the Motorcoach industry and/or transportation industry

  • Experience in group travel or tourism

Primary environment: ambient room temperatures, lighting and traditional office equipment as found in a typical office environment and while performing the duties of this job, the employee frequently works with office machines and equipment as an essential function of the position.
